Full-time, non-exempt

Salary: $25.00 – $30.00 per hour (depending on experience and geographic location) + annual performance-based bonus

Position Summary:

The primary purpose of the Legal Records Clerk position is to research, collect and maintain medical records, legal records, and health information in accordance with current federal and state guidelines as well as in accordance with our firm’s established privacy policies and procedures.

The below is not an exhaustive list but provides an expectation of the likely day to day responsibilities. The Legal Records Clerk should be prepared to work autonomously and respond as required to ensure a high level of service is always maintained. All responsibilities should be carried out in accordance with firm protocols, policies and procedures and best practices.

Essential Duties and Responsibilities:

The essential functions include, but are not limited to the following:

  • Works cooperatively with multiple teams consisting of attorneys, paralegals, case managers, and legal assistants.
  • Initiates and follows through on requests for medical, imaging, and billing records.
  • Initiates and follows through on requests for police reports, body-worn camera footage, and police evidence.
  • Ensures acquisition of all legal records and tracks formal requests.
  • Classifies and organizes medical records upon receipt.
  • Uploads records into the firm’s case file system.
  • Updates provider and vendor information in the firm’s case management system (FileVine).
  • Reviews and audits medical records for accuracy and completeness.
  • Organizes medical records to avoid duplication of information and chronologizes for ease of reference.
  • Assists the pre-litigation and litigation teams with summarizing medical records.
  • Handles confidential and non-routine information and is expected to maintain confidences.
  • Performs other duties around the firm as requested.
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • Ability to work occasional overtime.
  • Excellent verbal and written communication skills.
  • Creative Problem-Solver: Ability to think outside of the box, proactively identify and solve problems, and suggest innovative and improved processes to the manager.
  • Strong computer skills
  • Exceptional organizational skills.
  • Time management skills with a proven ability to meet deadlines.
  • At least one (1) year of medical record or litigation support experience is preferred.
Required Skills & Education:
  • High school diploma required.
  • Bachelor’s degree in legal studies, Associates degree in paralegal studies, paralegal studies certificate, or other law-related advanced education is preferred.
  • Demonstrated employment stability.
